Less admin, more care: Tietoevry’s Life­care Resource Opti­miza­tion light­ens the load for nurs­ing staff in Fin­land

By pro­vid­ing a sin­gle dig­i­tal view of staff, facil­i­ties, and ser­vices, Tieto­evry Care’s Life­care Resource Opti­miza­tion is free­ing up valu­able time for patient care at Finland’s Seinäjo­ki Cen­tral Hos­pi­tal.

After a joint spec­i­fi­ca­tion and devel­op­ment project between the Well­be­ing Ser­vices Coun­ty of South Ostro­both­nia, Fin­land, and Tieto­evry Care, the Life­care Resource Opti­miza­tion solu­tion was imple­ment­ed in the county’s first out­pa­tient clin­ics in May 2024.

Pre­vi­ous­ly, resource plan­ning was han­dled through frag­ment­ed sys­tems and spread­sheets. “The goal was to light­en the plan­ning staff’s cog­ni­tive load and over­all work­load by automat­ing oper­a­tions. Tieto­evry Care’s solu­tion was a good fit for this need”, says Mar­jo Patana, ICT Devel­op­ment Man­ag­er at the coun­ty. The Life­care Resource Opti­miza­tion auto­mates sched­ul­ing and pro­vides real-time vis­i­bil­i­ty, replac­ing time-con­sum­ing man­u­al tasks with effi­cient, cen­tral­ized coor­di­na­tion.

The devel­op­ment process has involved close col­lab­o­ra­tion with health­care pro­fes­sion­als, includ­ing head nurs­es and admin­is­tra­tive teams, ensur­ing the solu­tion meets the prac­ti­cal needs of day-to-day clin­ic man­age­ment. Key ben­e­fits include improved trans­paren­cy, eas­i­er onboard­ing, and bet­ter sup­port for staff who man­age mul­ti­ple clin­ics.

The imple­men­ta­tion includ­ed col­lab­o­ra­tion across clin­ics with dif­fer­ent spe­cial­ties, from surgery to ortho­pe­dics and urol­o­gy. Tyt­ti Val­li, Man­ag­er of Social and Health Appli­ca­tion Ser­vices, empha­sizes the broad engage­ment: “I am very pleased that we man­aged to engage the head nurs­es in this project and the over­all devel­op­ment effort. The project also includ­ed rep­re­sen­ta­tives from HR and facil­i­ty man­age­ment”.

Head nurse Sami Pent­tilä notes the time sav­ings: “Pre­vi­ous­ly, week­ly resource allo­ca­tion took sev­er­al hours, as infor­ma­tion had to be extract­ed from many dif­fer­ent sys­tems. Now the entire process takes at most half an hour per out­pa­tient clin­ic. As we include more pro­fes­sion­al groups, it will save even more time in the future.” He also high­lights the solution’s clar­i­ty and ease of use, par­tic­u­lar­ly valu­able in mul­ti-clin­ic man­age­ment and staff onboard­ing.

Tieto­evry Care con­tin­ues to enhance the sys­tem. “We are explor­ing how to bring even more intel­li­gence to Life­care Resource Opti­miza­tion.”, says Tom­mi Koisti­nen, Lead Prod­uct Man­ag­er at Tieto­evry Care. “For exam­ple, to improve fore­cast­ing, the opti­miza­tion of auto­mat­ic allo­ca­tion, and deci­sion sup­port. The solu­tion can also be inte­grat­ed with pro­duc­tion man­age­ment appli­ca­tions from oth­er providers. This way, it can tru­ly help coun­ties improve their oper­a­tions and achieve cost sav­ings”.

Look­ing ahead, South Ostro­both­nia plans to expand the solu­tion to 10 clin­ics by the end of 2025, includ­ing broad­er pro­fes­sion­al groups and poten­tial­ly pri­ma­ry health­care. The project has already attract­ed inter­est from oth­er well­be­ing ser­vices coun­ties, high­light­ing its poten­tial to bring sig­nif­i­cant improve­ments to health­care oper­a­tions across Fin­land.
